Standard Operating Procedure


Internal Theory Examinations

1. Internal Time Table for Theory Exam

• Internal time table is prepared based on university exam schedule, usually two times in a year
• For regular Batch in the month of January and April/May
• For Odd batch in the month of June/July and October
• Examination halls are identified and intimated the same to Principal.
• The examination schedule is circulated it to all the staff, Principal Office, Administrative Office.
• Finally the exam schedule is displayed in student notice boards.

2. Question Papers generation from Question Bank

• Class In charge will be responsible for sending Question paper request to the respective medical Department.
• Subject In charges will collect the Questions from respective subject teachers and prepare the questions paper from question bank.
• Preparation of Question Paper should be as per format and regulations given by MUHS.
• Submit the paper to Principle in a sealed envelope and mention no. of copies on it.


3. Request for Invigilators and duty allotment

• Send a request for Invigilators to principal.
• Prepare invigilation duty as per hall.
• No of invigilators = total strength / 50 per internal theory examinations

4. Rooms identification and intimation to All HODs & In-charges

• Identify the examination halls and intimate same to concern HODs.
• Intimate same to Principal for necessary arrangements.


5. Room wise seating plan & arrangements

• Preparation of examination Kit
• Each Kit should contains the following stationary
• Seating plan.
• Answer sheets
• Supplementary sheets
• Staplers
• Attendance / Mark sheets
• Requisition letter

6. Bell timings

• Short Bell at 9:30AM / 1:30PM ; Students takes their seats
• Medium Bell at 9:50AM / 1:50PM; Distribution of Answer sheets
• Long Bell at 10:00 AM / 2:00 PM; Distribution of Question paper sheets
• Warning Bell at 12:50 PM / 4:50 PM; Warning bell
• Final Bell at 1:00 PM / 5:00 PM; Collection of Ans. sheet


7. Day wise Attendance report

• After every examination prepare class wise Attendance report in which mention the absentee’s and presence statement.
• Submit the Attendance report & one question paper copy to year incharge
• Submit the answerer bundle with one marksheet and one question paper to office clerk.

8. Collection of answer scripts from invigilators

• The office clerk will collect Year wise answer scripts from invigilators.
• Specify the last date for submission.
• The answer bundle will be stored in exam cell cupboard.
• The subject teacher will inform the concern teacher and correction of answer books can be started.
• The correction should be finished within two weeks or within the last date of submission.


9. Evaluation of answer sheets.

• Timings for paper valuation will be from 9 am to 4 pm.
• It is mandatory to make entry into the Exam cell register before and after the paper evaluation.
• The paper bundle should be arranged in serial roll no. and keep it in the mention subject section of Cupboard.
• After valuation of papers the cupboard should be lock and keys to be handed over to office staff

10. Collection of corrected answer scripts from subject teacher and declaration of result

• Collect the marks award statement, answer sheets and all other document by the year in charge
• Verify all the scripts
• Absentees should be marked with separate ink.
• Year in charge and Subject teacher both has to verify the entered marks.
• Declaration of result should be done within 15 day of last exam.


11. Show cause notice for all invigilators those who are violated the rules

At the end of every internal and external examinations release the show cause notice to those who violated the examination rules.

12. Rules Regarding Mobile Phones

Student's Mobile phones should be collected before the exam by invigilator which will be kept under his supervision until the exam over. If some student caught with mobile and/ or found coping from mobile, he/she will be debarred from exam. The Invigilator has to keep the caught mobile until the student pay the penalty of Rs.200

13. If Student found coping from chit/note book or any other means, he may be debarred from exam. And report of same to be submitted by invigilator to Principal.

Internal Theory Examinations

1. Preparation of Practical exam time tables and staff duties

• Based on academic calendar, prepare separate internal time table for Terminal & Preliminary exam practicals.
• Prepare the examiner schedule for internal practical exams as allotted by principal
• Circulate to all staff and Display it in all student notice boards.

2. Prepare Marks award statement

• Prepare subject wise and laboratory wise marks award statements

3. Attendance Sheet for Practical

• Class wise preparation of absentee’s statement and fill Practical exam consolidated report


4. Signature statements

• Class wise and laboratory wise preparation of student’s signature statements.

5. Spots Preparation

• Prepare Spots wherever applicable by concern examiner allotted

6. Laboratory wise stationary preparation

• After receiving the stationary, arrange the stationary laboratory wise.
• If any errors were identified inform concern staff.
• Attendance sheet and absentee’s statement should keep in this cover.


7. Filing all documents

• Seal all answer sheets and File all the documents by concern examiner
• Handed over the Bundle to respective class in charge.
• Verify all the documents after completion of every examination without any delay.
• At any time university may ask any document, all these documents should be traceable.

8. Rules Regarding Mobile Phones;
